How to Scan Documents to PDF with Your Phone Camera

Almost nobody owns a scanner any more, yet offices still ask for "a scanned copy". The good news is that the camera in your pocket out-resolves the flatbed scanners of ten years ago — the trick is knowing how to shoot a page so it reads like a scan instead of a holiday snap, and then how to bundle those photos into one PDF. This guide walks through both halves: getting a clean, sharp, shadow-free page, and turning a stack of them into a single document you can send. No scanner app, no subscription, and nothing leaves your phone.

A bad phone scan is almost never the camera's fault. It's one of these five things, in roughly this order of impact:
- Light. Bright, even, indirect daylight near a window is ideal. The classic mistake is standing with a ceiling light behind you so your own head casts a grey shadow across the page. Move sideways until the shadow is gone, or turn on more lamps to flatten the light. Avoid the flash — it burns a white hotspot into the middle of glossy paper.
- Angle. Hold the phone directly above the centre of the page, screen parallel to the paper. Shooting from an angle makes the page a trapezoid, so the far edge of the text ends up smaller and blurrier than the near edge. Standing up and leaning over the page beats sitting and reaching across it.
- Background. Put the page on a plain surface that contrasts with it — a white sheet on a dark desk. This gives you crisp edges to crop to, and stops the camera's auto-exposure from being confused by clutter.
- Focus. Tap the middle of the page on screen before you shoot. Phones default to focusing on whatever they think is the subject, which on a flat white page can be the desk edge instead. On a long document, tap again for every page.
- Framing. Fill the frame with the paper, leaving just a small margin. Every wasted pixel of desk is a pixel not spent on the text — and you cannot recover sharpness by cropping later.
One extra habit worth building: shoot every page in the same order you'll want them, one after another without stopping. That way the photos are already in sequence in your camera roll and you never have to re-sort them.
Do you have enough resolution? Almost certainly yes
To look sharp when printed, an A4 page needs roughly 1700 × 2400 pixels — about 4 megapixels. Any phone made in the last decade shoots 12 MP or more, so you have three times the pixels you need before you start. This is why resolution is the wrong thing to worry about: your scan will fail because of shadow, blur or an angled shot, not because of megapixels.
It also means you have room to spare. If a page comes out slightly crooked or with a strip of desk at the edge, cropping it away costs you sharpness you were never going to notice.
How to combine your page photos into one PDF

Fixing the three problems everyone hits
"The PDF is 40 MB and my email bounced." This is by far the most common one. A phone photo is 3–8 MB, and the PDF embeds each one whole, so a ten-page scan easily passes 50 MB while most mail servers stop at 20–25 MB. Compress the photos before converting: a page of black text on white paper compresses beautifully, typically shedding 80–90% of the file size with nothing visibly lost on screen.
Scan too heavy to send?
Compress the page photos first and a 40 MB scan usually drops to a few megabytes — still perfectly readable.

If a page lands on its side, rotate the photo upright before converting — that writes the correct orientation into the image itself so every PDF reader shows it the same way.
"You can see my desk around the page." Crop each photo down to the paper edges. It takes seconds per page and is the single biggest difference between something that looks like a scan and something that looks like a snapshot. Crop first, then compress, then convert — in that order, so you're not compressing pixels you're about to throw away.
What a phone scan can and can't do
Be clear about one limit: a photographed page is a picture of text, not text. You can't select, search or copy the words, and a PDF made this way won't be readable by software that expects real text. For signed contracts, receipts, ID copies, handwritten notes and school worksheets — the overwhelming majority of "please scan this" requests — that is exactly what's wanted, because the point is to prove what the physical page looks like. But if someone needs an editable or searchable document, a phone scan isn't a substitute for the original file.
One more note for iPhone users: newer iPhones save photos as HEIC, not JPG. Most tools handle it, but if a photo refuses to load, convert HEIC to JPG first and it will import normally. Android phones save JPGs already.
Is it private and free?
